Every enrollment requires a physical appointment at the guardhouse
At most estates, golf clubs, and business parks today, enrolling someone into the Hikvision facial recognition system still means a physical meeting at the guardhouse or security office. Every time. No exceptions.
This requires a physical appointment, both parties present, 15 to 20 minutes per person, the guardhouse computer to be accessible, and one person at a time. It becomes a total bottleneck. It is impossible on weekends or holidays unless someone staffs the guardhouse.
That is operational drag before the system starts delivering value.
Some sites have improved this slightly with digital forms sent via WhatsApp, but even those still require heavy manual work per person: downloading photos, copy-pasting data, assigning access levels, and checking whether the person is actually allowed access. Neither approach scales beyond a handful of people per week.

HikCentral is excellent access control hardware. OnboardAI is the smart onboarding layer built on top of it. Your existing Hikvision devices, cameras, and HikCentral installation stay exactly as they are. OnboardAI handles everything from the first member interaction through to pushing approved enrollments into HikCentral automatically.
Your Hikvision setup stays exactly as it is
HikCentral already has a self-registration feature: someone scans a QR code, uploads a photo from their phone, and the access control device itself validates that the photo is good enough to recognise the person at the gate. If the device accepts the photo, it will work. That is a strong guarantee.
OnboardAI builds on top of this. It does not bypass or replace the device validation. The flow is additive: OnboardAI handles the smart onboarding steps that HikCentral cannot do, then hands the approved enrollment to HikCentral, which does what it is already good at. Two layers of validation. Neither replaces the other.

The onboarding form
Members receive a link via WhatsApp or email. When they open it on their phone, they see a clean 5-step wizard designed for all ages, including older residents who may not be comfortable with complex apps. Large text, simple language, one thing per screen.
The five steps are Welcome, Details, Contact, Photo, and Terms. The AI validates the photo, checking for a clear face, correct framing, and minimum resolution before the form can be submitted. If the photo fails validation, the member is shown exactly what to fix and prompted to try again.
The admin dashboard
The administrator sees a live enrollment queue. A stats strip at the top shows pending submissions, enrollments today, flagged issues, total active members, and the on-site agent connection status. The queue is colour-coded: green for AI-verified submissions that are ready to approve, amber for submissions needing manual review, red for issues that need attention.
Admins can approve or reject individual submissions, or bulk-approve all AI-verified ones in a single click. No manual data entry is required at any point.
Member list management
Import your existing member or resident list from CSV. New enrollments are automatically matched using name and ID number. Valid matches are flagged as AI verified. Mismatches are routed for manual review.
Onboarding links and QR codes
Generate enrollment links with configurable expiry dates and optional use limits. Download a QR code for reception, the gate, or the welcome pack. Link usage is tracked by site.
Status tracking for members
Every person gets a bookmarkable status page. The timeline updates through Submitted, Validated, Reviewed, and Access Active so they know exactly where they stand.

OnboardAI is built with data protection and access control at its core. POPIA compliance is designed in: photos are automatically deleted after 72 hours and ID numbers are stored as one-way hashes, never in plain text. Here is a summary of the key controls.
A layer on top, not a replacement
OnboardAI sits above your existing HikCentral installation. It runs on a central server, cloud-hosted or on-site at the security office or main operations office. A lightweight on-site agent creates the bridge between OnboardAI and HikCentral, communicating over HTTPS with no inbound firewall rules or VPN required.
Your existing Hikvision cameras, readers, and HikCentral licenses are unchanged. OnboardAI simply adds the onboarding intelligence on top and pushes approved enrollments through when they are ready.
The HikCentral API integration is in active testing, leveraging the existing self-registration pipeline that HikCentral provides.

Five steps from setup to first enrollment
Deploy OnboardAI on a server
Provision a server, either a cloud VPS or an on-site machine in the site office. OnboardAI is installed and running in under 15 minutes.
Configure the access control connection
Install the lightweight on-site agent on a machine with network access to your access control system. Paste in the connection details from the admin panel. This is a once-off setup with your IT team.
Import your member list
Upload a CSV with your current member or resident list. OnboardAI uses this to validate new enrollments and match them against known people.
Share the onboarding link
Generate an enrollment link from the settings panel. Share it via WhatsApp broadcast, email, or print the QR code for reception. Members can start enrolling immediately.
Review and approve from the dashboard
Log in to the admin dashboard to see incoming enrollments. AI-verified submissions can be bulk-approved in one click, then queued for automatic transfer to the access control system.
